Dues Product: Entity Definition

The fields on this form may vary based on your version of the Membership Dynamics code and your version of CRM. So for some field definitions you will see a code version. *Note that if the entity form shows Pricing Strategy as business recommended and you do not have the fields for Strategy Type and/or Strategy Class Name you may have an outdated form and will need to adjust it. See steps for modifying an entity form here or contact support for assistance.

GENERAL

  • Name - Name of the dues product. This is for internal reference only. The name of the product will be what shows on the order details.
  • Product - The corresponding product from the product catalog.
  • Dues Option - Parent dues option.
  • Type - The system will alter the display and accounting logic according to what is displayed here.
    • Standard - The product for which the customer must pay to renew membership. See standard configuration of additional fields for this type below.
    • Contribution - This product will be on the order when a customer renews membership but is typically an optional payment contributed to your organization. See standard configuration of additional fields for this type below.
    • Chapter-Specific - The product for which the customer must pay to renew his or her Chapter Affiliation. See standard configuration of additional fields for this type below.
  • Required - This flag determines whether the member is required to pay the line item or not. Most dues products will be required. The optional products are typically used for donations, but you can use them for other products that you want to allow people to opt out of.
  • Suggested Amount - This field is only applicable to products where Required = No. This amount is what will show up on the order (overrides what it is on the product record in the product catalog). Members/staff will have the option to edit this amount or remove it when paying the member's dues order.
  • Amount Editable - Selecting yes will allow you or the buyer to change the amount for the dues product before the order is placed. Selecting No keeps the amount locked. Editing is nice for optional dues items or contributions that you want members to be able to edit as part of the process.
  • Plan Timing - This field determines when the Dues Product would be charged in relation to recurring payments.
    • Not Eligible - Select this option if this Dues Product is not part of the recurring payment structure. The amount is due immediately at time of application or renewal
    • First Payment - Select this option if the entirety of the Dues Product should be charged in the first of the recurring payments.
    • Split - Select this option if the Dues Product should be distributed equally among the recurring payments.
  • Chapter - If the Dues Product Type is Chapter-Specific, this lookup specifies for which Chapter this Dues Product should be applied.

If you select a Standard Type, the additional fields may be configured as follows:

  • Required = yes
  • Amount editable = no
  • Suggested amount = (blank)
  • Chapter = (blank)

If you select a Contribution Type, the additional fields may be configured as follows:

  • Required = no (usually)
  • Amount editable = yes (usually)
  • Suggested Amount = The amount your organization suggests for Contributions.
  • Chapter = (blank)

If you select a Chapter Type, the additional fields may be configured as follows:

  • Required = no (usually)
  • Amount editable = no
  • Suggested Amount = (blank)
  • Chapter = the specific Chapter

Proration Fields and Subgrid

Strategy Type - Versions 2.7-2.8.1 This field allows you to select a specific strategy type to help update proration schedules in the subgrid.

  • Basic - is the default no proration option, though if you are not using prorations you can also leave this field blank which is the default.
  • Tabular - This option allows you to set a custom date range. Note that you will have to manually create each proration record in the subgrid.
  • Daily - This option will allow the system to create a daily proration schedule for the length of your dues option.
  • Weekly - This option will allow the system to create a weekly proration schedule for the length of your dues option.
  • Monthly - This option will allow the system to create a monthly proration schedule for the length of your dues option.
  • Quarterly - This option will allow the system to create a quarterly proration schedule for the length of your dues option.

Strategy Class Name - Version 2.10+ requires this field to be set to control proration logic as identified above.

If you are not prorating this product you do not need to adjust the default setting, if you are using proration you can use the Strategy Type field to help simplify the display, but you will still need to update this field as follows.

  • Tabular - Cobalt.Components.Cams.BusinessObjects.Membership.TabularPricingStrategy
  • Daily - Cobalt.Components.Cams.BusinessObjects.Membership DailyPricingStrategy
  • Weekly - Cobalt.Components.Cams.BusinessObjects.Membership.WeeklyPricingStrategy
  • Monthly - Cobalt.Components.Cams.BusinessObjects.Membership.MonthlyPricingStrategy
  • Quarterly - Cobalt.Components.Cams.BusinessObjects.Membership.QuarterlyPricingStrategy
  • Custom - Cobalt.Components.Cams.BusinessObjects.Membership.CustomPricingStrategy

Proration Subgrid

After you save the record, if you chose Daily, Weekly, Monthly, or Quarterly pricing strategy then the amounts and dates should auto populate on the subgrid. If you chose another type or left it at Basic/blank then the subgrid remains blank. For more information on setting up prorations click here.
