Account: Entity Definition

SALES --- ACCOUNTS

Heading - remains in place as you scroll though the account record

  • Account Name - Name of organization.
  • Annual Revenue - Auto populates from Company Profile but can also be filled in manually.
  • No. of Employees - Auto populates from Company Profile associated with the organization but can also be filled in manually.
  • Owner - This field will auto-populate with the value of the current user creating the record, but can also be changed with the look up menu.

SUMMARY

Account Information

  • Account Name - Name of the organization.
  • Parent Account - Lookup to an existing account record or where a new account record can be made.
  •  Phone - this field specifies the phone number for the organization.
  • Fax - this field specifies the fax number for the organization.
  • Website - this field specifies the web address for the organization.
  • E-mail - this field specifies the organization e-mail address.
  • Relationship Type - Specifies relationship with options in a drop down menu.

Mailing Address

  • Sames As - This field specifies whether the Street Address will need to be written or can be pulled from the Parent Account's Street or Mailing Address.
  • Street 1 - The organization's Street 1 Address.
  • Street 2 - The organization's Street 2 Address. An example would include an Apartment or Suite number.
  • City - The organization's city.
  • State/Province - The organization's Street Address. This field is a lookup to the available State or Province records. The Country field will determine whether State or Provinces records will be available to chose from.
  • State/Province - Abbreviation of the State/Province (ex: Virginia/VA) autofill when a state with an abbreviation is selected, okay if left blank
  • Zip/Postal Code - The organization's Street Address.
  • Country - The organization's Street Address. This field is a lookup to the available Country records. This field can be set in the Settings Entity to auto-populate with a country.

Billing Address - These are the same fields as the Mailing Address when you scroll down.

 

POSTS, ACTIVITIES, NOTES

  • Posts
  • Activities - track interactions with the organization like phone calls, e-mails, and appointments
  • Notes - store additional information about the organization

PRIMARY CONTACT

  • Lookup to an existing contact or where a new contact record can be created. Includes phone and e-mail information.

CONTACTS

  • Tool bar that allows you to add contacts to the organization and look up associated contact records.

MEMBERSHIPS

  • Tool bar that allows you to add, create new, and/or view organization memberships. 

MEMBERSHIP APPLICATIONS

  • Tool bar that allows you to add, create new, and/or view organization membership applications.

DETAILS

Company Profile

  • Ticker Symbol - The account's ticker symbol.
  • Industry - The industry in which the account does business.
  • No. of Employees - The number of employees that work for the account. (automatically connected to the page heading)
  • Annual Revenue - The account's annual revenue. (automatically connected to the page heading)
  • SIC Code - The account's SIC code.
  • Ownership - The type of ownership of the account (Private, Public, etc.)

Description 

  • A description of the account.

Marketing

  • Originating Lead - This field will auto-populate if the account record was promoted from a lead record.
  • Last Campaign Date - This is an auto-populated field based on whether or not account has been included in the Marketing List functionality
  • Marketing Materials - this field specifies whether or not the organization will allow marketing materials to be sent to them.

Contact Preferences

  • Contact Method - This field specifies the preferred contact method for the organization, Any, E-mail, Phone, Fax, Mail
  • E-mail - This field specifies whether or not the organization will allow emails to be sent to them. 
  • Bulk E-mail - This field specifies whether or not the organization will allow bulk emails to be sent to them.
  • Phone - This field specifies whether or not the organization will allow phone calls.
  • Fax - This field specifies whether or not the organization will allow faxes to be sent to them.
  • Mail - This field specifies whether or not the organization will allow mail to be sent to them. 
  • Bulk Mail - This field specifies whether or not the organization will allow bulk mail items to be sent to them.

Billing Information

  • Price List - This defaults to the default price list set up in the Settings Entity.
  • Currency - This field should auto-populate with the default US Dollar currency
  • Credit Limit - This field allows you to set a credit limit dollar amount.
  • Credit Hold - This field allows you to select whether or not Credit Holds will be allowed.
  • Payment Terms - This field allows you to select from a drop down of payment term options

Shipping

  • Shipping Method - This drop down menu allows you to select a preferred method for shipping items to the organization.
  • Freight Terms - This drop down menu allows you to select the freight terms for the organization.

Phone/Fax Countries

  • Main Phone - This field is a lookup to the available countries.
  • Fax - This field is a lookup to the available countries.
